How to Automate Client Onboarding: Proposals, Payments, & Questionnaires

By Matyn7 Jul 20266 min read

For service-based businesses like agencies, consulting studios, and advisory groups, signing a new client is a milestone. However, the subsequent administrative onboarding sequence is often a major time-drain:

  1. Drafting and sending the proposal and contract (via DocuSign or PandaDoc).
  2. Creating and sending the deposit invoice (via Xero or Stripe).
  3. Following up when contracts aren't signed or invoices sit unpaid.
  4. Sending the onboarding questionnaire to gather project files.
  5. Creating client folders in Google Drive and Slack channels.

When done manually, this onboarding loop takes 2–4 hours per client. If you sign 5–10 clients a month, that's 20 to 40 hours of repetitive admin tasks that pull you away from delivering actual project results.

Here is how to automate the entire client contract-to-onboard workflow using Make.com, Stripe, and Notion.

1. Triggering the Flow: Contract Signed

The automated workflow begins the moment a client signs your digital contract.

  • Trigger Module: Set your Make.com trigger to PandaDoc, DocuSign, or SignWell with the Document Signed event.
  • Action: Make.com captures the payload, extracting the client’s name, email, company, and agreed project value.

2. Generating the Deposit Invoice Automatically

Once the contract is signed, the client should pay the deposit immediately before work begins.

  • Stripe Integration: Add a Stripe module to your Make scenario.
  • Action: Select the Create an Invoice and Create an Invoice Item actions. Use the parsed contract value (e.g., 50% deposit) to define the line item.
  • Dispatch: Use the Send an Invoice module to email the payment link directly to the client's inbox.

3. Creating Workspace Infrastructures

While the client is paying, your automation pipeline can set up your delivery folders behind the scenes:

  • Google Drive: Add a Google Drive module to create a new folder named [Client Name] — Project Hub.
  • Slack: Use the Slack module to create a private channel named #client-[client-name] and automatically invite your project manager.
  • Notion CRM: Update the database row status for the client from Proposal Sent to Onboarding. Paste the Google Drive folder link directly into the client's Notion CRM card.

4. Sending the Onboarding Questionnaire

Once Stripe registers the payment status as paid, trigger the intake questionnaire:

  • Trigger: Stripe webhook Invoice Paid event.
  • Action: Send an automated email (via Gmail or ActiveCampaign) welcoming the client. Include a link to their custom onboarding form (such as a Tally.so or Typeform form) to collect assets, branding details, and logo files.
  • File Sync: When the questionnaire is submitted, Make.com automatically downloads the uploaded files and uploads them into the client's Google Drive folder.

5. Security & Compliance (PDPA)

Onboarding clients requires handling proprietary project details, contact coordinates, and billing details.

  • Secure API Sandboxes: Integrate Stripe and contract systems using restricted API tokens, bypassing public model databases.
  • Explicit Consent: Ensure your onboarding form contains a quick check confirming: "I agree to the storage of project assets in our secure Google Workspace for project delivery."
