Most guides on WhatsApp automation focus on customer support: FAQs, order tracking, appointment reminders. That is a valid use case, but it is only scratching the surface of what WhatsApp can do for a Singapore service business.

The most powerful application is outbound sales follow-up — using WhatsApp to run a structured, multi-touch nurture sequence that keeps prospects warm, moves deals through your pipeline, and closes business that would otherwise go cold.

The reason is simple: WhatsApp is personal. It sits in the same space as messages from family and friends. A WhatsApp message from a business feels more immediate and more human than an email — especially if the first message was warm and relevant.

For Singapore buyers in particular, WhatsApp is the default channel for ongoing business conversations. Once a prospect has engaged with you on WhatsApp, all subsequent follow-up happens there. The 5-Stage WhatsApp Sales Sequence

Here is the sequence architecture we use for service businesses, from initial enquiry to closed deal:

Stage 1 — The Instant Greeting (0–90 seconds after enquiry)

The first message sends within 90 seconds of the enquiry landing. It is short, warm, and personal:

"Hi [Name], thanks for reaching out about [service]. I'm Umar from [Company]. Quick question — are you looking to [core outcome] within the next [timeframe]?"

This message does two things: it acknowledges their enquiry immediately (speed-to-lead) and it asks a qualifying question that invites a response rather than just delivering information.

Stage 2 — The Value Proof Follow-Up (Day 1 if no reply)

If the prospect does not respond to the initial greeting within 24 hours, a follow-up goes out:

"Hi [Name], just checking in. We recently helped [client type] achieve [specific outcome]. If this sounds relevant to what you're working on, happy to walk you through how it could apply to your situation. Just reply here anytime."

This is not chasing — it is providing a reason to re-engage. The social proof element (mentioning a client result) creates credibility without a hard sell.

Stage 3 — The Resource Message (Day 3 if no reply)

"Hey [Name], I put together a quick overview of [relevant topic] that a few clients have found useful. [Resource or key insight]. No pressure — just sharing in case it helps."

This stage maintains presence in the prospect's WhatsApp inbox without being pushy. It positions you as a value-giver, not a salesperson.

Stage 4 — The Direct Ask (Day 5–7)

"Hi [Name], I want to make sure I'm not cluttering your messages if the timing isn't right. Are you still exploring [service], or should I check back in later? Either way is fine."

This message does something counterintuitive: it gives the prospect an easy out. Research consistently shows that permission-to-disengage messages generate more positive responses than continued soft-pushing, because they feel respectful rather than desperate.

Stage 5 — The Long Re-Engage (Day 14–30)

If there is still no reply, one final message goes out after 2–4 weeks:

"Hi [Name], hope the [relevant period, e.g. month, quarter] has been good. Still happy to help with [service] if the timing is better now. No obligation — just want you to know we're here."

This catches prospects who were genuinely busy during the initial sequence rather than uninterested.

  1. Trigger: New lead row created in your Notion CRM or Google Sheet.
  2. Stage 1: Make.com immediately calls WhatsApp API → sends greeting message → logs send time.
  3. Stages 2–5: Make.com uses a Wait module plus Check Reply logic: if no reply exists in the lead's CRM record by the scheduled time, the next message sends. If a reply exists, the sequence pauses and flags the conversation for your review.
  4. Human handoff: When the prospect replies at any stage, you receive a Telegram notification with the full conversation thread, and the automated sequence pauses until you respond manually.

The key technical detail: the system does not blindly fire all five messages regardless of reply. It monitors the CRM for activity and halts the sequence the moment engagement occurs. This prevents the embarrassing scenario of sending a "should I check back later?" message to someone you are already in conversation with.


PDPA Compliance for WhatsApp Follow-Up

Singapore's Personal Data Protection Act (PDPA) applies to automated WhatsApp outreach. Key requirements:

Consent: You must have a documented basis for contacting the prospect via WhatsApp. The most straightforward basis is that they initiated contact with you first (they enquired about your service). This constitutes deemed consent under PDPA for follow-up related to their enquiry.

Unsubscribe mechanism: Your messages should include an implicit or explicit way for the prospect to opt out. The Stage 4 "direct ask" message serves this function — it invites them to say they are no longer interested.

Data handling: Prospect phone numbers and conversation data should be stored in a PDPA-compliant manner. If using Notion as your CRM, ensure your workspace is not set to public visibility, and access is role-restricted to relevant staff only.

Retention period: Do not retain prospect conversation data indefinitely. Set a data retention policy (e.g., delete unengaged lead records after 12 months).
