A

AI Agent

An AI agent is a software system that perceives its environment, makes decisions, and takes actions to complete a goal — without a human directing each step. In a business context, an AI agent might receive a WhatsApp enquiry, qualify the prospect, book a calendar slot, and update the CRM automatically. Unlike a simple chatbot that follows a fixed script, an AI agent can reason about context and handle variations in user input.

Anthropic Claude

Claude is an AI assistant and LLM developed by Anthropic. It is one of the primary AI models Lumora uses to power custom AI agents, particularly for tasks requiring careful instruction-following, nuanced tone, and safe handling of sensitive information. Claude operates via API with zero-data-retention policies, meaning customer conversations are not used to train future models.

Custom AI Agent

A custom AI agent is an AI system built specifically around a business's own workflows, products, tone of voice, and qualifying criteria — as opposed to an off-the-shelf chatbot tool. Custom agents are trained (or prompted) with company-specific knowledge: your pricing, your services, your compliance requirements. They are integrated directly with your CRM, WhatsApp number, and calendar. The result is an agent that behaves like a well-briefed team member, not a generic bot.

CRM (Customer Relationship Management)

A CRM is a system for tracking and managing interactions with prospects and clients across the sales pipeline. In the context of AI automation, CRM refers to the database that receives structured lead data from automated intake systems, tracks deal stages, and triggers follow-up sequences. Common CRMs used with Lumora's systems include Notion, HubSpot, Airtable, and Pipedrive. Notion CRM is popular among Singapore SMEs for its flexibility and low cost.

CEA Regulations (Property Agents)

The Council for Estate Agencies (CEA) regulates property agents in Singapore. For automated communication systems, the key CEA requirements are: all communications must be identifiable as coming from a licensed salesperson (by name and CEA registration), agents may not make false or misleading property claims, and AI systems may not impersonate an agent. Human-in-the-loop review of every automated message — where the agent approves before sending — satisfies these requirements and is the recommended architecture for property agent AI systems.

EDG (Enterprise Development Grant)

The Enterprise Development Grant (EDG) is a Singapore government scheme administered by Enterprise Singapore that co-funds strategic business transformation projects at up to 50% of qualifying costs. Unlike PSG, EDG does not require using a pre-approved vendor list — it funds project outcomes. EDG covers custom AI agent builds, bespoke workflow automation, WhatsApp integration systems, and process redesign consulting. Applications must be submitted and approved before project commencement; retroactive applications are not accepted.

Human-in-the-Loop

Human-in-the-loop (HITL) is an AI architecture where a human reviews and approves automated outputs before they are acted upon. In Lumora's sales automation systems, this typically means the AI drafts every WhatsApp message and surfaces it to the business owner or salesperson via Telegram (with Approve / Edit / Skip buttons) before the message sends. HITL keeps the human in control of every client-facing communication while eliminating the cold-start delay that kills most leads. It is also the required architecture for CEA-regulated property agents and MAS-regulated financial advisors.

HIPAA (US Healthcare Compliance)

The Health Insurance Portability and Accountability Act (HIPAA) is US federal legislation that governs how Protected Health Information (PHI) — any patient-identifiable health data — must be handled by healthcare providers and their technology vendors. For AI chatbots serving US medical clinics, HIPAA requires: a signed Business Associate Agreement (BAA) with every technology vendor, AES-256 encryption for PHI at rest, TLS 1.3 encryption in transit, role-based access controls, audit logs, and automatic session data purging. AI chatbots may never offer medical diagnoses or handle emergency situations without immediate human escalation.

LLM (Large Language Model)

A large language model is an AI model trained on vast amounts of text data that can understand and generate human language. Examples include OpenAI's GPT-4o, Anthropic's Claude, and Google's Gemini. In automation contexts, LLMs are used as the 'brain' of AI agents — parsing customer messages, extracting structured data, drafting responses, and making routing decisions. LLMs are accessed via API, meaning your customer data runs through them without being stored or used for training (with zero-data-retention policies in place).

Lead Qualification

Lead qualification is the process of determining whether an inbound prospect meets the criteria to be worth pursuing — based on budget, timeline, need, and authority (the classic BANT framework). In an automated system, an AI agent asks 2–3 qualifying questions via WhatsApp or web chat, parses the responses, scores the lead against criteria defined by the business, and routes high-quality leads to a human salesperson while filtering out low-quality or unready enquiries.

Make.com (formerly Integromat)

Make.com is a visual workflow automation platform that connects apps and services via drag-and-drop scenarios. Unlike Zapier, Make.com supports complex multi-step logic including routers, iterators, error handling, and nested loops — making it suitable for enterprise-grade automation. Lumora is a certified Make.com partner. Make.com is typically chosen over Zapier when workflows have conditional logic, high data volumes, or require cost efficiency at scale.

Meta Embedded Signup

Meta Embedded Signup is the onboarding flow that allows a business to connect their Facebook/Meta account and phone number to the WhatsApp Business API directly within a third-party platform or website — without leaving the page. It generates the credentials (WhatsApp Phone Number ID, Access Token, WABA ID) needed to send messages via the API. Lumora uses Embedded Signup within its free-agent funnel to connect client WhatsApp accounts.

MAS Guidelines (Financial Advisors)

The Monetary Authority of Singapore (MAS) issues guidelines governing how financial advisors and insurance agents may communicate with clients and prospects. Key guidelines relevant to AI automation include FAA-N16 (fair dealing) and restrictions on cold solicitation. Automated WhatsApp follow-up sequences for financial advisors must only contact warm inbound leads (not cold outreach), include clear identification of the advisor, and not use AI to make product recommendations. Human-in-the-loop approval of all client communications is the recommended architecture for MAS compliance.

n8n

n8n is an open-source workflow automation tool that can be self-hosted on your own infrastructure. It provides similar capabilities to Make.com but with the advantage of complete data sovereignty — all workflow data stays within your own servers. n8n is particularly relevant for Singapore businesses with strict PDPA data residency requirements, or for businesses processing high volumes of data where per-operation pricing models become expensive.

Notion CRM

A Notion CRM is a customer relationship management setup built inside Notion — a flexible workspace tool. Unlike purpose-built CRMs, Notion CRM is fully customisable but lacks native real-time triggers. Automation systems (via Make.com or n8n) bridge this gap by pushing new lead data directly into Notion database rows the moment an enquiry arrives, using the Notion API. Lumora commonly builds Notion CRM pipelines for Singapore service businesses as a cost-effective starting point.

O

OpenAI GPT-4o

GPT-4o is a multimodal large language model developed by OpenAI. It can process text, images, and audio inputs. In automation workflows, GPT-4o is commonly used for lead qualification (parsing unstructured enquiry messages into structured fields), AI-personalised outreach copy, and sentiment analysis on incoming messages to route leads correctly.

PDPA (Personal Data Protection Act)

The Personal Data Protection Act (PDPA) is Singapore's primary data privacy legislation, administered by the Personal Data Protection Commission (PDPC). It governs how organisations collect, use, disclose, and store personal data of individuals in Singapore. For AI automation systems, key PDPA requirements include: obtaining explicit consent before collecting personal data, using data only for the purpose it was collected, limiting data retention periods, and ensuring data is not shared with third parties without consent. Lumora builds PDPA compliance into every client system by default.

PSG (Productivity Solutions Grant)

The Productivity Solutions Grant (PSG) is a Singapore government scheme administered by Enterprise Singapore and IMDA that co-funds adoption of pre-approved IT solutions at up to 50% of qualifying costs. PSG covers off-the-shelf tools from IMDA-approved vendors — including CRM platforms, chatbot tools, and workflow automation software. PSG does not cover custom-built systems. For custom AI agent builds, the Enterprise Development Grant (EDG) is the relevant scheme.

RAG (Retrieval-Augmented Generation)

Retrieval-Augmented Generation (RAG) is an AI architecture where an LLM is supplemented with a knowledge retrieval system — allowing it to answer questions based on specific, up-to-date documents rather than just its training data. In a business context, RAG enables an AI agent to accurately answer questions about your specific services, pricing, policies, and FAQs by retrieving the relevant section of your knowledge base before generating a response. This prevents AI 'hallucination' on company-specific facts and keeps answers grounded in your actual content.

Speed-to-Lead

Speed-to-lead is the time elapsed between a prospect submitting an enquiry and receiving a first response from the business. Research from MIT and InsideSales.com shows that responding within 1 minute makes conversion 391% more likely than responding after 30 minutes, and that the probability of qualifying a lead drops by 80% after the 5-minute window closes. Automating the first response via AI — typically within 60–90 seconds — is the single highest-ROI automation for most service businesses.

Telegram Bot (Approval Channel)

In Lumora's automation systems, a Telegram Bot serves as the internal notification and approval channel for business owners. When a new lead arrives or an AI-drafted message is ready to send, the Telegram Bot sends a structured notification to the owner's phone with action buttons (Approve / Edit / Skip). This creates a human-in-the-loop review layer that keeps the business owner in control without requiring them to be in the automation platform. Telegram is used instead of WhatsApp for internal alerts because it is API-accessible without message template restrictions.

Webhook

A webhook is a mechanism by which one system automatically sends data to another system the moment a specific event occurs — without polling or manual retrieval. For example, when a prospect submits a Facebook Lead Ad form, Facebook sends a webhook payload containing the lead's name, phone, and email to your automation platform (Make.com or n8n) within seconds. Webhooks are the foundational trigger mechanism for real-time automation systems.

WhatsApp Business API

The WhatsApp Business API (now called the WhatsApp Cloud API, managed via Meta's Developer Console) is the enterprise-grade interface that allows businesses to send and receive WhatsApp messages programmatically. It is distinct from the WhatsApp Business app — the API supports automation, bulk messaging (with opt-in), and integration with CRM systems. A Singapore business number must be registered and verified with Meta before using the API. Messages sent via the API can be templated (for outbound) or freeform (in response to user-initiated conversations within a 24-hour window).

Z

Zapier

Zapier is a workflow automation platform that connects apps via trigger-action 'Zaps'. It is best suited for simple, linear integrations with quick setup times. For complex workflows with conditional logic, multi-step error handling, or high operation volumes, Make.com or n8n are typically more cost-effective and capable. Many businesses start on Zapier and migrate to Make.com as their automation needs grow.

Zero-Data-Retention Policy

A zero-data-retention policy is a contractual and technical commitment by an AI API provider (such as Anthropic or OpenAI) that customer data processed through their API will not be stored, logged, or used to train future AI models. This is a critical PDPA and HIPAA compliance requirement when processing customer personal data through AI systems. Both Anthropic and OpenAI offer zero-data-retention API tiers.
